ASU Foundation

The ASU Foundation is a private non-profit organization that identifies, encourages and engages private supporters to advance the success of Arizona State University as a New American University.

The foundation works with donors to determine their motivations and aspirations and matches those passions with investment opportunities at ASU.

We especially welcome candidates who are eager to apply best practices in fundraising towards cultivating a culture of philanthropy throughout the ASU community.

Role summary:

The assistant director events is a member of the ASUF Strategic Engagement team and will coordinate the execution of strategic donor/prospect events.  The assistant director will be responsible for the planning and oversight of implementing high quality special events relating to donors, prospects and other Foundation constituents to advance cultivation and stewardship.  Responsibilities will include conceptualizing events to support Foundation mission, planning event logistics, budgeting and continual communication with colleagues and vendors throughout the event process.

What you’ll do:

Assist in management of strategic events such as recognition events, engagement program events, president’s tailgate and suite, and high level events with ASU/ASUF leadership

Interface with development, principal/leadership giving, engagement programs, donor relations, family association, communications team, president’s office, and ASUF leadership, etc.

Manage the ASUF events budget for all events and process expenses

Ensure event planning forms are completed for all assigned projects

Manage the event registration process including tracking RSVP’s and scheduling staff/volunteers 

Communicate event logistics and updates to colleagues, leadership, donors and prospects

Prepares appropriate background and support documents to include bios, summary briefings, etc. for leadership

Attend events and provide onsite supervision

Post event analysis with metrics

Manage events master calendar

Schedule conference calls and/or management meetings, coordinate logistics and prepare for these meetings as required

Prepare presentations, correspondence, reports, or other documents for meetings with leadership

Input  information into prospect and donor system (ADVANCE™) and extract and analyze information through reports (both pre-existing and customized)

Exercise good judgment and professional demeanor at all times

Communicate as needed with ASU and ASUF leadership and their support team

Pro-actively identify needs, analyze problems and make recommendations

Interact and communicate professionally and clearly with individuals at all levels of the organization

Other duties as assigned

What you’ll need:

Collaborative style, combined with the ability and desire to work in a team-based environment

Ability to maintain a high degree of confidentiality and responsibility regarding information related to Foundation and University business and confidential donor and prospect information

Strong and collegial interpersonal skills and an ability to communicate effectively in person, in writing and by phone at the highest levels

Ability to work both independently and as part of a team

Problem solver who can take initiative and set priorities while being flexible

Team oriented strategist able to effectively manage complex situations involving numerous and sometimes competing constituencies

Ability to represent the institution well

An advocate’s belief in the vision of ASU as the New American University

Attention to detail and thoroughness in completing assigned duties

Adept at navigating complex environments with evolving priorities and communications plans

Proficient with Microsoft Office Suite of applications including Word, Excel, Outlook

Ability to work in a fast-paced environment and meet deadlines

Understand the basic fundraising principles involved in prospect identification, cultivation, solicitation, and  stewardship

Ability to converse easily with prospects in a “cold call” situation

Must be willing to work flexible hours, including evenings and weekends

Skilled project leader, highly organized and able to handle multiple projects simultaneously

Provide excellent customer service

Ability to possess and demonstrate significant conceptualizing, planning, and implementing events of all dimensions and scope

Ability to set priorities and organize workload for effective implementation

Relevant experience:

Bachelor’s degree in a related field and a minimum of five years’ successful administration of programs, events, development and/or fund raising related experience or equivalent combination of education and experience.
