Position Summary

The Database Analyst is responsible for the integrity of the donor database, accuracy of reporting, coordination of project work, event assistance, management of database queries and reporting.  Define, update and streamline analytical analysis, project processes with documentation and training.  Responsible for coordination of database research and maintenance projects, including intern and volunteer training, task lists, and special projects.

Create, define, and produce accurately analyzed Raiser’s Edge database queries, reports and mailing lists. Responsible for ongoing Raiser’s Edge database maintenance tasks and integrity of the database. Demonstrate success in managing complex databases, business analysis, configuration, data integrity, data analysis, and troubleshooting with ability to multi-task several projects consecutively. Perform quality checks on the database and either update data fields or communicate required update to the appropriate teammates to make. Assist with the efficiency of special events, projects and mailings in a timely manner.

Work with team members to meet the target dates laid out on the Fund Development and Marketing Calendars for mailing lists and special donor recognition.

Maintain existing procedures, work instructions and standards that will help ensure on going data integrity.

Work with Vice President of Fund Development when use of data field definition and/or standards should be changed to help ensure the integrity of the reports being generated.

Analytically identify new and savvy ways to capture data for producing optimal results.

Coordinate special projects involving all aspects of the Fund Development Department.

Post donations, sponsorships, tickets, pledges and pledge payments in Raiser’s Edge database and process acknowledgement letters within 24-48 hours of receipt. Process checks, credit cards, cash, pledges, pledge payments and non-cash donations received according to agency standards; including preparation of deposit documents/reports for the Finance Department, VP of Development and CEO.  Submit paperwork, track and confirm gifts to be matched as required by specific giving programs and Foundations.  Coordinate reoccurring donations, online donations, and matching gifts.

Build new constituent records and maintain existing constituent records to ensure integrity of the Raiser’s Edge database. Input new donors from various sources.

Maintain and update donor acknowledgment/thank you letters in Raiser’s Edge.

Responsible for Raiser’s Edge security, administration and management including database maintenance (posting changes of names, address, marital status, deceased dates, birthdays, etc).

Coordination of donor thank you phone calls, notes and touch points made by Board members, including database updates and action steps.

Preparation of monthly Board dashboard report and other appropriate reporting tools

Maintain effective methods for coordinating, documenting, tracking, and reporting of donor events and other Development team projects. Assist in the development of projects and programs that will produce revenue in the Fund Development Department.

Assist Finance Department during yearly audit by researching any allocated differences and reconciling of gift reporting to match general ledger.

Manage, document and organize archiving of Fund Development documentation, i.e. daily deposits, donor files, etc.

Other duties as assigned.

Relevant Background and Formal Education

Demonstrated skills, competencies, and knowledge required for this job are most often acquired through the following practical experience and level of academic education and training as suggested below.  

High school diploma or equivalent. Some college preferred or desired.  Excellent interpersonal and customer service skills.  Strong organizational skills with attention to detail and accuracy are required.  1-2 years’ experience with Raiser’s Edge preferred.  Willingness to work as a team member and desire to learn fund development skills and concepts. Demonstrate ability to maintain high level of confidentiality a must. Demonstrate strong skills including prioritizing deadlines and the ability to work on multiple projects with tight deadlines in a changing environment.  Proficient typing- 55-70 wpm, with a working knowledge of Raiser’s Edge, Word, Excel, PowerPoint and Outlook software programs a requirement.  Experience with desktop publishing software is encouraged.  Must be willing to sign “Oath of Confidentiality, Non-compete Agreement” as well as “Code of Ethics”.
